Just one glance around the FlowFast space will tell you who is doing what tasks, when the deadline is, which tasks have high priority, and whether there are any bottlenecks or blockages in the process. If this is not the case for you, then most likely you do not know about the useful capabilities of the service. Let's fix this.In this article we will talk about 7 FlowFast functions that will help make cards on boards more informative. This will make it easier for you to organize and filter tasks.

If your card looks like this, then we are coming to you. Be sure to read the article to the end and see how the faсade of the card from our example will change

Tags

One of the easiest ways to structure and prioritize tasks is to use color-codedlabels.

A label is a colored field with text that is visible on the front of the card. You can add any number of tags to a card.

For each tag, you can set your own name and choose your favorite color from the suggested ones. With their help, you can classify tasks as you want. For example, setting a priority (low, medium or high), distributing tasks into categories or highlighting important nuances is at your discretion.

Later, you can filter the cards to see only those that are related to the tag you selected.

Custom fields

You can also add more context to tasks using custom fields - a special place on the card that displays important characteristics of the task. The user decides which fields to create and selects the desired type: text, number, link, contact, etc. For example, you can indicate contacts for communicating with the client, complexity, labor costs, or add a task rating to collect feedback on the work done.

Participants

Another bright tool of the board is the visualization of employees who are working on a task.

Thecard has 3 roles:

1) The customer is the person who created the card (if necessary, it can be changed manually).

2) The performer is everyone who is added to the card as participants.

3) Responsible- a selected employee from among the performers who is responsible for completing the task.

The customer is displayed inside the card, and the performers and the person in charge can be seen on the facade. If necessary, tasks on the board can also be filtered by the selected employee to assess his work load.

Deadline

Another important tool that is used to indicate the deadline for completing each task.By setting deadlines for each card, you can determine the daily workload of your colleagues and wisely plan your personal time.

The deadline is displayed both inside the card and on its front. Depending on the approach of the selected date, the date bar will change color:

Gray -you still have time left.

Yellow- the task must be completed today.

Red -you did not complete it on time.

Green -work on the card was completed on time.

By specifying a due date, you can also show the priority of a task. To do this, you can use the red “Urgent” icon. It will definitely draw attention to the task and remind you of the looming deadline.

way, in order not to miss a deadline, you can set a reminder about the deadlines and receive a notification by email, in an application or in a messenger.

Blocking

Stop the word "Red". Often tasks or circumstances a rise at work that slowdown the work process. To prevent such tasks from hanging as “dead weight”, you can block the card with a bright red block.

This way, the reason for the blocking will be visible on the front of the card, which means the task will stand out in space and remain in its place until the blocking is removed.

And if one task cannot be completed due to another task, you can indicate the reason a blocking card. The blocking task will be highlighted in yellow on the board, and the employee will understand that he needs to finish it quickly.

Covers

This is the case when you still have to judge it by its cover.

Card covers are one way to convey important information not only with text, but with images. For example, show the product or interface on the front of the card, add a photo of an employee or a meme that conveys the status of the task or your mood.

Warning about stale cards

Using this function, you can track how long the card remains at one stage of operation without moving. The essence of the setting is to set the time during which the task must complete a certain stage. The selected time is displayed in the lower right corner on the card front. If the time exceeds the set limit, the icon will light up in red.

This will make it easier to notice that a task has not moved for too long, in order to later assess the workload of employees, find hidden blockages, or review the number and relevance of tasks.

Agree,if you compare the front of the card from the beginning of the article with the example above, the difference is obvious

Customizable card view

To structure the information on the front and focus attention on important data, you can change the appearance of the cards on the board. By default, FlowFast has 2 types of display:

Full, which reflects all the information about the card: labels, custom fields, attachments, participants, etc.

A compact view in which only the card names, participants, deadline and information about blocking and blank required fields are shown on the façade.

You can also customize your own way of displaying cards in space. This is done using a special form where you select the fields that will be displayed on the card of your type and indicate their order.

This function can be compared to the details of a construction set - by connecting different parts you assemble something that visualizes the work processes of a specific team. Thanks to this individual approach, you will be able to organize thetasks of employees in different areas and focus attention on important data.

Total

Of course, the work processes of each team or employee are unique. But you can convey the specificity of tasks and visualize them using FlowFast functions. The service is flexible enough to customize the space to suit you. Choose the functions you need from our selection, visualize tasks and make the space bright and informative. Then one glance at the board will be enough to understand which task is worth paying attention to first, where work is blocked by external dependencies, which dates are approaching the end, and so on.
